Sage 50 is a great accounting system and, for many businesses, it does exactly what they need it to do... but businesses change.
You add more people, process more transactions, carry more stock, introduce new departments or locations and suddenly some of the things that used to be straightforward start taking a little more work. Usually, there isn’t one big moment when somebody announces, “We’ve outgrown Sage 50!” It tends to happen gradually.
More spreadsheets appear. Reporting takes longer. People develop workarounds. Somebody has a particularly complicated Excel sheet that nobody else is allowed to touch...

So, how do you know when it might be time to consider moving from Sage 50 to Sage 200?
As a business grows, more people often need access to financial information.
That doesn’t necessarily mean everybody needs access to everything.
You might have people processing sales orders, managing purchasing, checking stock, approving transactions or producing management information.
👉 If controlling who can see and do what is becoming increasingly important, it is worth looking at whether your current system still suits the way your business operates.
We have nothing against Excel. We use it too! The problem comes when important business processes start happening outside your accounting system because your existing setup can't easily give you what you need. You may find yourself exporting data to :
👉 Produce management reports
👉 Analyse sales and margins
👉 Combine information from different areas
👉 Track budgets
👉 Manage information that doesn't fit comfortably into your existing processes
A spreadsheet here and there isn't necessarily a problem.
If your finance team spends a significant amount of time exporting, manipulating and checking information every month, that's a different story.
Growing businesses tend to want more from their financial information.
It is no longer enough to know what happened last month. You may want to understand performance by department, cost centre or another area of the business.
Sage 200 provides more scope for detailed analysis and reporting than Sage 50, which can make a considerable difference as your reporting requirements become more complex.
This can be a big one.
Perhaps you now hold more stock, operate from multiple locations or need greater control over purchasing and stock movements. As the volume and complexity increase, managing everything effectively can become much harder. Sage 200 includes more extensive stock, sales order and purchase order functionality, making it particularly relevant for businesses where stock forms an important part of day to day operations.
The way you operate today may be very different from when Sage 50 was originally implemented. You may have more departments, more employees, different approval processes or new reporting requirements. Sometimes the accounting software isn't really the problem. The business has simply moved on. That is why reviewing your processes should be part of any conversation about changing systems.
If information is being copied between Sage, spreadsheets and other business systems, it is worth asking why.
Apart from taking time, repeated data entry creates more opportunities for mistakes.
Moving to Sage 200 can also provide opportunities to look at integrations and how information moves around your business, rather than simply replacing one piece of accounting software with another.
This is perhaps the easiest sign to miss. Someone joins the business and asks “Why do we do it that way?”. And the answer is often “It's the way we've always done it” 😂
Processes tend to grow around the limitations of the systems being used. Eventually those extra steps become completely normal.
If you haven't reviewed them for a while, you may be surprised how much time they are taking.

And this part's important.
Outgrowing Sage 50 doesn't automatically mean Sage 200 is the answer. Depending on your business, requirements and plans, Sage Intacct may also be worth considering.
The right starting point is understanding what isn't working today.
What are you trying to achieve? Where is your team spending unnecessary time? What information is difficult to get? What will the business need in two or three years?
Once you know that, you can make a much better decision about what comes next.
You don't need to have decided on Sage 200 or Sage Intacct before speaking to us. In fact, we'd rather you hadn't!
